  Tēnei Tūranga Mahi | About the Role  

The School of Media Arts is looking for a high standard of administrative support to ensure the effective and efficient operation of the Media Arts team. This role will support the Group Director, Team Managers and academic staff and work alongside the Office Manager and other academic administrators. The role is required for a variety of academic administrative and operational functions and is to ensure that the administration team has continuity in their service delivery and deadlines are met.  

The role is a permanent full-time position (1 FTE), 37.5 hours per week (7.5 hours per day across 5 days)

You will ideally have a qualification and have relevant experience in a similar role within an academic education environment. You will have experience in working under pressure to meet deadlines while maintaining a high level of accuracy. You will be able to demonstrate a proactive customer focused approach and have an ability to build robust relationships with internal and external stakeholders. You will have excellent written and oral communication skills with a high level of skill in the use of computer applications including MS Word, MS Excel, MS Outlook and databases.

We are looking for someone who:

  • Works proactively with the Enrolment Centre, Quality and Academic Unit, Student Experience
  • Organises, coordinates and administers School/Centre meetings, including venues, agenda, minutes etc;
  • Maintains an efficient and effective filing system that aligns with Wintec Records Management guidelines.
  • Advanced computing skills especially in Word, Access, Excel and Outlook
  • Supports the Office Manager and other members of the administration team as needed.
  • Ensures programme academic documentation, e.g. curriculum documents, programme regulations, handbooks, etc meet the required quality and outcomes.
  • Collaborates with other administrative staff internally and externally to work flexibly, and share knowledge and best practice, ensuring the School/Centre meets Wintec’s administration requirements.
  • Coordinates student events, which may include but not limited to induction, orientation, Graduation, Special Awards and works collegially with all relevant staff and the wider organisation to achieve successful outcomes:
  • Monitors and reports on specific activities, e.g. Online Attendance Register, Verification of Attendance on behalf of the School/Centre
  • A tertiary qualification would be beneficial
  • Has New Zealand permanent residency or citizenship
